Alexa. Siri. Netflix recommendations. Amazon search results. Grammarly. AI has gone by many names over the years. Artificial Intelligence is no longer the fodder of Sci-fi blockbusters (here’s looking at you Ripley). And while clearly, it’s not new in the sense that ‘regular’ use of AI began trending upward as early as 2010, the real explosion of AI awareness is happening now. I mean, I’m fairly sure my four-year-old niece was referencing Chat GPT this past weekend. The rapidity at which AI is becoming a part of everything, everywhere, all at once feels like a shock to the system – and this is coming from someone who works at company that manages IT and Cybersecurity for dentists, doctors, and government contractors.

Just like its seamless integration with educational tools, smart refrigerators and movie making, AI has made its way into almost every corner of IT and cybersecurity.

So, to all healthcare providers and DoD contractors, or managed service providers for those industries, you can appreciate that the AI paradigm in today’s world transcends just “computer stuff.” For better or for worse, AI integration impacts patient care, payroll, employer trust, and security contracts. And when, not if, something goes wrong, the questions clients will ask are “How did this happen?” and “How do we keep it from happening again?”

AI is Using our Tools Against Us

“How did this happen?” a client may ask. Here’s how:

  • Fraudulent messages sound more real. Attackers are using AI to draft believable emails and texts that match a person’s tone, job role, or even a current project.  How? The more humans that use AI, the more behavior patterns are exposed, and the more data attacker have to use.
  • Passwords aren’t the main problem anymore…stolen logins are. This isn’t to say that we can resort back to using our birthday and pet names for passwords. But more and more, we are seeing incidents start when someone’s sign-in is stolen by bad-actors and reused to access email, files, and cloud apps.
  • MSPs (Managed Service Providers) are a high-value target. As an MSP operating for over 26 years, DTC has weathered many a storm and so we are acutely aware of the increased focus on sourcing information from security and IT providers. We also stay many steps ahead of attackers looking to corrupt remote support tools in an attempt to jump from one business to many.

“How do we keep it from happening again?” After security incident occurs, of course time is of the essence. Yet, while the most advanced MSPs in the world are not going to catch every single breach or scam, their ability to resolve the issue quickly is critical. What’s even better though is taking any steps available to decrease the likelihood of an incident in the first place. So, before you add “AI features” to your service offering, make sure the security basics are rock solid. In the MSP world, the clients that do best aren’t the ones with the fanciest tools. Nope. It’s the clients who have reinforced consistent security standards in practice, not just theory. Here’s the baseline best practices applicable across dental IT, healthcare IT, and defense contractor IT.

  1. Stronger sign-ins (especially for employees with admin privileges). This is paramount: turn on multi-step sign-in for everyone and use the strongest option you can for admin accounts (like passkeys or security keys). Passwords need to be a minimum of twelve characters.
  2. Apply guardrails to Admin accounts. Admin accounts should not be used for email and web browsing, and access should be limited to only what’s needed. Using an admin account to browse increases exposure to risk and when admin account are compromised, so is access to sensitive information.
  3. Safer email by default. Make it harder for scammers to pretend they’re sending from your company and add filters that warn or block suspicious links and attachments. Also give staff a one-click way to report “this looks fake” so your IT team can stop it quickly.
  4. Endpoint protection with a “stop the spread” button. If there is a security breach, ensure you have the means to quickly contain it (for example, isolating it from the network) while you investigate and fix it.
  5. Backups you’ve actually tested. A backup is only helpful if you can successfully use it on a bad day. That means practicing a restore by pulling a few files back, or even bringing a computer/server back online, so a) you know it works and b) you know how long it takes. Also, keep at least one backup copy locked away with separate access. That way if a hacker breaks into your network, they can’t delete or encrypt the backups too.
  6. Patch the things cybercriminals will hit first. Patching involves targeted updates for the software your business runs on. There can be a multitude of patches to implement, but prioritizing a) anything that can be reached from the internet (especially remote access) and b) the programs your clients rely on every day, like dental/clinical systems, is crucial. Eliminate the low hanging fruit.
  7. Lock down your MSP toolchain. Protect remote support tools with strong sign-in rules, limit who can do high-risk actions, and keep logs long enough to investigate incidents.
  8. Set simple rules for AI. Every business is different and that is ok! But clearly defining which AI tools are allowed and which are not, should be a focal point in workplace conversations everywhere. Then establish what can be shared with the AI tools and what must never be pasted or uploaded into AI (patient info, contracts, passwords, etc.).

We love our healthcare teams! They are industrious, patient-first, and agile all day. The concept of multitasking is at times unparallelled by the day-to-day events taking place in a dental practice. So, it’s easy to see why AI tools are appealing. And honestly, they are incredibly powerful tools to optimize efficiency when it comes to scheduling, reminders, and communications. Just don’t lose sight of the downside: scammers are using the same technology to make “urgent” requests sound believable, especially around billing and patient records.

Real-life Example: Your office manager receives an email that looks like it’s from your vendor’s “billing department” stating, “We’ve updated our bank information. Please send all future payments to this new account,” and it includes an invoice that matches an actual recent order.

Biggest business impacts:

  1. Losing access to scheduling, imaging, and PHI
  2. HIPAA violations

  1. MFA, passkeys or any other sign-in policies for companywide email and admin accounts

Dear defense contractors, be vigilant about what information AI touches

For defense contractors, the AI focus moves quickly to “what data is allowed to go where?” That’s because if a team member exposes sensitive contract information to an unauthorized AI tool, serious contractual and reporting headaches can result. And with CMMC requirements taking root nationwide, more and more contractors are simultaneously tightening security standards.

Real-life example of what can go wrong: A project manager is rushing to finish a proposal. In effort to save on time, they paste sections of an SOW (statement of work), their pricing notes, and subcontractor details into a public AI chatbot to “clean it up” and add a prompt to make it sound more “professional.”

Business impacts: A week later, during a routine review, the company realizes that tool wasn’t approved for sensitive contract information. What’s worse, now they can’t clearly prove where that data went, how long it was stored, or who could access it.

Even if nothing “breaks,” the contractor still has to treat it like a potential data spill, notify the right internal people, and document corrective actions (new AI rules, training, and tighter access) to stay on track with customer requirements.

What MSPs should standardize:

  1. Document which AI tools are allowed and how. Work with clients to establish policies around AI. Then train. This way “I didn’t know,” doesn’t become an incident.
  2. Protect that sensitive information. Use tighter access rules and extra monitoring for the people and systems that handle sensitive contract data.
  3. Harden logins and remote access. Strong sign-in rules and limited remote access paths prevent the most common break-in scenarios.
  4. Make compliance part of the routine. Tie what you deliver (updates, backups, monitoring, incident response) to what the contract expects. That way audits don’t turn into emergencies.

  • Do: leverage AI to turn complex alert messaging into non-technical summaries, and to draft client facing updates your techs can quickly review and send.
  • Do: maintain a firm line around all client data, but especially patient PHI and contract information.
  • Do: provide your clients with guidelines around “what’s OK to paste” specifications and reinforce them with settings and permissions.
  • Don’t: approach the sharing of sensitive details with public AI tools casually. This includes patient info, passwords, private contracts, screenshots of tickets, etc.
  • Don’t: use AI output as a final answer. AI makes mistakes. Nothing can replace human judgement.

“Does AI make us safer?” It can if it’s used to speed up detection and response, but it is not a substitute for the basics. Stay mindful that AI also helps cyber criminals generate more authentic looking and sophisticated scams. So, the basics (strong sign-ins, backups, training) matter more than ever.

“Can our staff use ChatGPT or other AI tools at work?” That’s entirely up to individual businesses. And the allowed AI tools need to come with clear rules. The biggest risk is someone pasting in patient details, passwords, or sensitive contract info without realizing where that data might end up.

“What’s the #1 thing we should do first?” Protect sign-ins! Especially for email and admin accounts. The majority of security incidents we’re seeing start with stolen logins, not Hollywood style hacking.
